The Area VI Agency on Aging plans, provides and contracts for services to older Americans, persons with disabilities and veterans within the planning and service area including the Counties of Lake, Lincoln, Mineral, Sanders, and the Flathead Reservation. Some aspects of this position may require travel, per diem and mileage is paid.

Western Montana Area VI Aging Service is seeking a motivated individual to help implement a new transportation program.  The Transportation Coordinator will be responsible for the administrative duties and management of Western Montana Transit.

General Duties include providing safe and reliable public transportation services to the general public, senior citizens, and persons with disabilities within Lake County and Missoula and Flathead counties. Responsible for management within the guidelines of the 5310/5311 grant programs, Older American Act. Coordinates with CSKT Transportation and providers in other communities. This position will be an active member of the Lake County Transportation Advisory Committee.

Responsibilities:

  • Coordinate transportation schedules and routes for clients.
  • Dispatch drivers, and other team members to ensure efficient deployment of vehicles and resources.
  • Monitor and analyze transit performance metrics, such as ridership levels, performance, and service reliability, to identify areas for improvement.
  • Manage transit budgets, expenditures, and financial reporting to ensure fiscal responsibility and accountability.
  • Developing and maintaining relationships with transit stakeholders, including passengers, advocacy groups, and business partners.
  • Providing support and guidance to transit staff, including training, supervision, and performance evaluation.
  • Responding to passenger inquiries, complaints, and feedback in a timely and professional manner, and implementing measures to address issues and enhance customer satisfaction.
  • Develops, implements, and maintains a Safety Program for Western Montana Transit.
  • Cross trains with other Western Montana Transit staff to provide backup role.
  • Coordinates Drug and alcohol testing for operators, dispatchers, and other staff.
  • Develops client database and prepares monthly and quarterly reports of transit operations.
  • Assures daily preventative maintenance and safety checks are performed and maintains database.
  • Handles service complaints with tact and understanding.
  • Supervises all drivers and dispatchers.
  • Coordinates training for drivers and employees as needed.
  • Conducts Quality of service provided to clients and initiates corrective action when needed. Occasionally operates a vehicle to monitor client satisfaction with service.

Dispatching:

  • Receive and process transportation requests from clients, customers, and internal departments.
  • Assign appropriate vehicles and drivers to transportation requests based on factors such as location, capacity, client needs and scheduling constraints.
  • Communicate with drivers to provide instructions, updates, and support throughout their routes.
  • Monitor the progress of transportation assignments and proactively address any delays, issues, or emergencies.
  • Maintain accurate records of all transportation activities, including trip logs, vehicle assignments, and driver schedules.
  • Provide exceptional customer service to clients and customers, addressing inquiries, and resolving issues promptly and professionally.

Qualifications Preferred:

  • Experience of 2+ Years Black Cat Transit software.
  • 2+ years positive work-related experience in transportation management, urban planning, business administration, or a related field preferred.
  • 2+ years prior state/federal grant management and reporting.
  • 2+ years of experience in transit operations, planning, or coordination.
  • Strong analytical and problem-solving skills, with the ability to interpret data and make data-driven decisions.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholders.
  • Knowledge of transit regulations, policies, and best practices.
  • Proficiency in computer software applications, including transit scheduling and routing software.
  • Demonstrated leadership abilities and the ability to motivate and inspire a team.

Skills:

  • General computer and office machines and applications including Microsoft Office, Excell, Word., etc.
  • Considerable skill in establishing and maintaining effective working relationships with diverse individuals, groups, scheduling, assigning, and monitoring work.
  • Conflict management skills.
  • Must be able to work and perform under pressure. A high level of organizational skill is necessary for prioritizing clients and maintaining strict confidentiality.

Required:

  • Mandatory alcohol and drug testing as preemployment requisite and random testing throughout employment.
